At registration
We ask newly-registering operators to provide a best estimate for the number of disputes we are likely to receive from their customers in a full calendar year. We use that estimate to raise a pro-rated invoice for the remainder of the calendar year.
Only in exceptional circumstances (e.g. if a company estimated we would receive 40 disputes and 0 were received or a company estimated 5 disputes but delivered 80) might we contact the company at the end of their first calendar year’s registration period to look at issuing a credit note or raising a supplementary invoice.
In subsequent years
We base invoices for subsequent annual registration periods on the volume of disputes we received that had demonstrably completed a company’s internal complaints process during the previous full calendar year.
For example, a company would receive an invoice for £28,250, covering “ADR services from 1 January to 31 December 2026”. The invoice amount would be based on the fact we had received 55 disputes from that company’s customers during the year 1 January to 31 December 2025.
For companies that initially registered with the service mid-year of the previous year, the volume of disputes received during that period would be projected up to a full year period and used to make the relevant calculation, e.g. if a remote gambling operator registered on 1 October 2025 and generated 6 disputes before the end of December 2025, their 2026 Annual Registration Fee would be £11,750 based on the expectation that we were likely to receive 6 disputes per quarter and 24 per year.
PLEASE NOTE: IBAS only charges remote operators for disputes which have already progressed through the company’s own internal complaints process and which appear to fall within the remit of our service.
Typically, a dispute is only recorded as ‘chargeable’ once it has been viewed by a member or members of our Adjudication Panel but we sometimes also charge for other cases where the volume of communication with either the consumer or company justifies doing so. The decision to concede or offer a compromise settlement once we have begun to consider a case does not change its chargeable status.
Issuing invoices
We typically raise our annual registration fee invoices in Q1 of the calendar year in the expectation that fees are paid by the midpoint of the year at the latest.
